This agreement is part of the Raxni Terms. It applies when we handle personal data about your website visitors and other people whose information you provide. You decide why that data is used. If you act for another organisation, you must have its authority.
We receive, store, use, share with authorised recipients and remove contact details, messages, booking details, identifiers and supplied content needed for chatbot answers, enquiries, bookings, team follow-up and related exports or support. The people concerned include your visitors, customers, contacts and team members. Retention is explained in the Privacy Policy.
Our responsibilities and yours
- Your instructions: We process data according to your settings and written instructions. If the law requires different action, we will tell you beforehand where legally permitted. We will also tell you if an instruction appears unlawful.
- Your responsibility: You must have a lawful basis to provide the data, inform the people concerned and respect their data rights.
- Security: Access is limited to authorised people bound by confidentiality. We maintain and check safeguards appropriate to the data and its risks.
- Our providers: You authorise us to use hosting, storage, AI, email and support providers for the agreed service. We place equivalent data protection duties on them and remain responsible to you for their performance. We provide their details, give advance notice of changes and allow objections on data protection grounds. An unresolved objection must be addressed before the affected change, including considering applicable options to end the affected service.
- International transfers: Transfers to other countries take place only after the safeguards required by applicable law are in place.
- Requests and incidents: We assist with data rights requests, security duties, necessary risk assessments and dealings with relevant authorities. If we become aware of a personal data breach affecting your data, we notify you without undue delay and update you as information becomes available.
- Return or deletion: When the processing ends, we return or delete data according to your choice and remove remaining copies unless the law requires retention. The Privacy Policy explains the normal download period, earlier deletion and restricted backups.
- Checks: We provide information and support appropriate audits to demonstrate these duties, while protecting other customers’ data and service security.
If a data processing provision here conflicts with the general Terms, this agreement takes priority for that issue. Mandatory legal obligations still apply. Contact Raxni support about instructions or requests.
